Booking Templates

#Overview
Booking Templates allow users to create predefined equipment sets for recurring booking scenarios. Instead of manually selecting inventory items one by one, users can apply a template and automatically receive suggested items that match the template requirements.
Templates are based on item keywords and quantities rather than specific inventory items. During booking creation, the system searches available inventory and suggests matching items for selection.
Feature Availability
Booking Templates are disabled by default.
To enable the feature:
Navigate to Settings.
Open the Templates tab.
Locate the Booking Templates section.
Enable the Booking Templates toggle.
Once enabled, a Manage Templates button becomes available below the toggle.
Selecting Manage Templates opens the Booking Templates management modal.
If the feature is disabled:
The Manage Templates button is hidden.
The Use Templates option is not available during booking creation.
Managing Templates
#Creating a Template
Within the Booking Templates modal:
If no templates exist, the Create Template panel is displayed automatically.
If templates already exist, select + New Template to create a new template.
#Required Fields
Template Name
A unique name used to identify the template.
Items to Include
Defines the equipment requirements for the template.
Each row consists of:
A keyword used to match inventory items.
A quantity selector.
A remove button.
#Optional Fields
Description
Additional information about the purpose of the template.
#Item Matching Information
Users can access additional guidance by clicking the information icon next to Items to Include.
The following information is displayed:

#Matching Inventory Items
When a valid keyword is entered:
The system searches inventory items matching the keyword.
A message is displayed:
Matching items found (not selected)
Users may select Preview to view all matching inventory items.
The template can be saved once at least one valid template item has been configured.
After successful creation, the following confirmation message is displayed:
Template saved successfully
#Invalid Keywords
If no inventory items match the entered keyword, the following message is displayed:
No items found for ''
Additional information:
No inventory items match this exact keyword. This template item will require manual selection during booking.
Templates containing unmatched keywords can still be saved.
During booking creation, those requirements will not be automatically fulfilled.
Editing Templates
Selecting a template from the template list opens its details panel.
Users can:
Edit the template name.
Edit the description.
Modify quantities.
Add additional template items.
Remove existing template items.
Changes can be saved using the Edit Template action.
Searching Templates
A search field is available above the template list.
Users can search templates by name to quickly locate existing templates.
Copying Templates
When hovering over a template in the list, a copy action becomes available.
Selecting Copy Template:
Creates a duplicate of the selected template.
Displays a success notification.
Creates a new template with the same configuration.
Appends "Copy" to the template name.

Deleting Templates
When hovering over a template in the list, a delete action becomes available.
Selecting Delete Template opens a confirmation dialog.
Available actions:
Cancel
Delete Template
Once confirmed, the template is permanently removed from the template list.
Using Templates During Booking Creation
Navigate to:
Bookings → Create Booking
Within the Items section, users will see:
Choose which items to add to your booking or use templates.
Selecting Use Templates opens the template picker.
The picker supports:
Template search
Template selection
Template pagination (when applicable)
Applying a Template
After selecting a template:
The template name is displayed within the Items section.
Matching inventory items are suggested automatically.
Additional actions become available:
#Add More Items
Allows users to manually add additional inventory items.
#Template Actions
Selecting the three-dot menu provides:
Change Template
Reopens the template picker and allows a different template to be selected.
Clear Template
Immediately removes the applied template from the booking.
Template Details
Selecting View Template Details displays fulfilment information for each template requirement.
For each requirement, users can see:
Available item count
Requested quantity
Example:
5 available / 5 requested
If no matching inventory exists:
0 available / 1 requested
Item Display
Below the template details section, users can:
View matched inventory items
Hide or display item lists
Enable or disable Group by Location
Group by Location
When enabled, matched inventory items are grouped by location.
Each group displays:
Location hierarchy breadcrumb
Total number of items within that location
This allows users to understand where allocated equipment is physically stored.
Item Profile Booking Behaviour
When creating a booking from an Item Profile:
The current item is automatically selected by default.
Users may remove the automatically selected item if required.
The Use Templates functionality remains available.
This allows template-based bookings to be created directly from Item Profiles.
